General Secretariat The Secretary General is responsible for the administrative coordination of the University of Burundi. It includes four services: Administrative department The UB administrative service is responsible for: 1. Ensure the monitoring of human resources administrative files and their careers; 2. Lead and coordinate all the activities of the Service; 3. Design and apply a personnel management policy; 4. Ensure the monitoring of the preparation of notes of engagement, advancement in grade, reintegration, secondment, layoff, retirement or sanction of personnel, 5. Ensure follow-up of the recommendations of hierarchical authorities in matters of human resources management; 6. Propose decisions and legal and administrative acts with a view to updating the personnel files of the University of Burundi; 7. Prepare information notes and suggestions for administrative measures to be taken for the attention of the hierarchical authority; 8. Design and apply a policy and practice for monitoring the presence, punctuality, services and discipline of service personnel, in particular by means of control mechanisms for counting attendance, services, entries and exits ; 9. Design, apply and monitor an in-service training and development policy for staff; 10. Ensure monitoring of the production of reports in all activities of the Service; 11. Prepare a monthly report on staff movements; 12. Carry out any other work related to the activities of the Service, at the request of the hierarchical authority. 2.IT service 1. Design and propose a development plan for the IT tool, as well as the training of University user personnel; 2. Design and apply an ICT policy adapted to the administrative and academic activities of the University 3. Ensure the security and maintenance of the IT equipment; 4. Ensure monitoring of the digital archiving of the University’s administrative data; 5. Provide the necessary technical support to the various University services; 6. Advise the authority in the choice of new technologies and in the implementation of IT tool exploitation projects. 7. Manage the University of Burundi website. 3.Communication department 1. Promote the image and visibility of the University of Burundi; in this capacity, he is responsible, with the technical services, for reception, the University logo, the beautification and sanitation of common areas; 2. Ensure the governance of information and communication within the University; 3. Ensure the management of the University in its communication with public institutions, the population, staff, students and the media; 4. Feed and update the University of Burundi website.
